Photography Studio Management Software: What 8 Vendors Charge

Which unit does each vendor actually meter?

The eight vendors meter at least ten different units, from active session types at Pixieset and active shoots plus galleries at Sprout Studio to users, brands and lead forms at Studio Ninja, ShootQ, Dubsado and HoneyBook, per pages read September 8 to 11, 2026. Two headline prices are not comparable until the unit matches.

The unit decides what the next hire costs. On Studio Ninja, ShootQ and HoneyBook, a fourth person means a higher plan. On Dubsado, three additional users are free, so a fifth person adds the $25 a month band for 4 to 10 users. Sprout Studio's plan cards print no price for a fourth user below its Unlimited plan, while Pixieset Studio Manager and Iris Works print no seat count at all, so their published prices do not move with headcount. Which photo studio management software plan covers each step from inquiry to paid shoot?

Sprout Studio Lite, at $19 a month, is the cheapest plan whose pricing page lists all eight workflow steps, with galleries built in; Studio Ninja Pro, at $27, lists all eight with galleries through named integrations (both read September 28, 2026). At the other five vendors, the steps split across two tiers, and some go unlisted.

Table 3 names, for seven vendors, the cheapest plan whose pricing page or comparison table lists each step, with its monthly-billed price. "Not listed" means no plan card or comparison-table row named the step when read, not that the product lacks it. 17hats is left out because its rendered pricing page lists no features by plan.

Galleries are where the vendors differ most. Iris Works answers the question in its own FAQ, "No, Iris Works does not include gallery delivery," and names Pic-Time and ShootProof as the gallery platforms it integrates with. Studio Ninja lists Pic-Time, ShootProof, Fundy and ProSelect integrations on all three tiers, and Pixieset sells Client Gallery with Studio Manager in its Suite (all read September 28, 2026). What is the subscription price for a small three-photographer studio?

For three bookable photographers on one brand, the cheapest plans that list both online booking and workflow automation run from Sprout Studio Lite at $19 a month to HoneyBook Essentials at $59 a month on monthly billing, a spread of 3.1 times (read September 10 and 11, 2026).

Iris Works Starter, at $14.95 a month, is cheaper than every route in the table and is left out on purpose: it lists "Online Booking" but not "Workflows and Automation," which starts on Basic at $29.95. On the looser test, booking alone on a paid plan, Iris Works Starter would be the floor, and the spread up to HoneyBook Essentials would be 3.9 times instead of 3.1.

The crossover matters as much as the cheapest price. Add a fourth photographer and Studio Ninja moves from Pro at $27 to Master at $40, Sprout Studio from Lite at $19 to Unlimited at $69, ShootQ from Essential to Studio at $59.95 plus the $10 module, and HoneyBook from Essentials at $59 to Premium at $129, all on monthly billing. HoneyBook's help center, read September 10, 2026, says Starter members "cannot add any team members," so the two team members on Essentials sit on top of the account owner. Dubsado holds at $55 until a fifth person, because its first three additional users are free. Which plans leave online booking out?

Three of the eight vendors, ShootQ, Iris Works and Dubsado, sell a plan whose pricing page, comparison tables included, lists no online booking or scheduling feature, then add booking on a higher tier or as a paid module (read September 8 to 11, 2026). Calendar sync, listed by ShootQ Essential and Dubsado Starter, does not count as booking.

Studio Ninja Starter, at $16 a month, marks "Online Booking Forms" and "Workflow Automation" with a cross on its plan card. Both start on Pro at $27, which carries "3 Online Booking Forms": $11 a month, or 69 percent, more. Its comparison table, read September 11, 2026, ticks "Appointment Booking" and "Sample Online Booking Form" on Starter as well, without defining either, so Studio Ninja is not one of the three counted above.

ShootQ sells booking as a module: "Add our Booking Module to any plan!" at "$10/month or $90/year ($7.50/mo)." Its Essential plan, at $39.95 a month, lists Proposals, Questionnaires, Workflows and Customizable Lead Forms and lists no online booking; the separate Booking Only plan, at $14.95, carries booking but not that workflow set.

Iris Works' ladder is not linear. Starter, at $14.95 a month, lists "Online Booking." Basic, at $29.95, does not: it lists "Workflows and Automation," "Custom Integrated Lead Page," "E-Contracts and Free Templates," "Invoices and Quotes" and "Locations." Pro, at $39.95, lists "Online Booking OR Email Marketing," and only Pro Plus, at $49.95, lists both.

Dubsado marks Scheduling, Automated workflows and Public proposals with a cross on the Starter Plan and a check on Premier, so all three arrive together, one tier up: $20 a month between $35 and $55 on the Monthly Plan toggle, or $190 a year between $335 and $525, before any brand or user add-on.

HoneyBook lists "Scheduler" and "Automations" among the things Essentials adds over Starter, a $23 a month step from $36 to $59 on monthly billing, or $20 from $29 to $49 on yearly billing. Its comparison grid, read September 11, 2026, ticks "Pipeline automations" on Starter, but the "Automations" row, "Automate repetitive tasks and workflows," starts on Essentials, and that row is the one counted here as workflow automation. The same grid prints "1 session" for Starter on the Scheduler row and "Unlimited sessions" for Essentials and Premium, so Starter carries a limited scheduler rather than none, which is why HoneyBook is not one of the three.

Where a pricing page contradicts itself, and where it only looks as though it does

HoneyBook's pricing page prints two different card-rate figures, read September 10, 2026. 17hats' page only appears to print a legacy price grid: the grid sits in the page's code but never renders in a browser (read September 8 and 11, 2026).

HoneyBook's plan comparison grid prints "Fees starting at 2.9% + 25¢" three times, once in each plan column. Further down the same page, the Processing fees block prints "Card fees start at 2.7% + 10¢," and the page's FAQ repeats the second figure. On a $2,000 wedding balance, the two printed figures differ by $4.15 a payment: $58.25 at 2.9 percent plus 25 cents, and $54.10 at 2.7 percent plus 10 cents. The page separately prices ACH bank transfers at "a lower 1.5%." Ask HoneyBook in writing which rate applies to your card mix.

HoneyBook's lead form limits, on the same September 10 read, agree across the page: the plan cards say "Up to 2 live lead forms," "Up to 10 live lead forms" and "Unlimited live lead forms," and the comparison grid prints "2 forms," "10 forms" and "Unlimited."

17hats' pricing page carries, in its HTML, a legacy comparison grid with Essentials, Standard and Premier columns, a documents-per-month row and seat and brand prices, plus an FAQ block that tells you to choose between those tiers. Opened in a browser on September 8, 2026, and again on September 11, both blocks carry the CSS class "hide" and compute to display none, so neither renders. The rendered page shows one plan in three billing terms and a short FAQ, with no document cap, seat price or legacy tier, so this article quotes none. A tag-stripped scrape of the same HTML hands you all three, which is one way a roundup ends up printing a price the vendor does not sell.

Where ranking roundups get these prices wrong, or leave them out

Of the three ranking roundups checked September 8, 2026, the SLR Lounge guide printed starting prices that did not match the vendors' own pages that day, and the Flothemes and Home Studio List pages printed no prices at all.

The SLR Lounge studio management guide, an editorial page ranking for this term when checked September 8, 2026, printed "Starting Price: $199/year with a 30-day money-back guarantee" for 17Hats. 17hats publishes Monthly $60 a month, Yearly $600 a year and Bi-Yearly $800 for two years (read September 8 and 11, 2026), so its yearly price is about three times the quoted figure.

For ShootQ, the guide printed "Starting Price: $29/month with a free 1-month trial | $24/month when paid annually." ShootQ's own page, read September 8, 2026, opens at "$14.95 /mo or $149/year," and its button reads "Start Free 14-Day Trial." Neither the price nor the trial length matches.

For Dubsado, the guide printed "Starting Price: $20/month with a no-time-limit free trial (good for three leads)." Dubsado publishes $35 and $55 a month on its Monthly Plan toggle, or $335 and $525 a year, and states "Your free trial lasts 21 days" (read September 10, 2026).

For Studio Ninja, the guide printed "Starting Price: $21.95/month with a free 30-day trial | $17.95/month when paid annually." Studio Ninja publishes $16 a month and $160 a year with USD selected, and says "The 7-day trial is free with no credit card needed" (read September 8, 2026).

The guide also concluded that "HoneyBook is currently the most expensive starting option among dedicated photography CRMs at $36/month." HoneyBook's Starter, billed monthly, is $36 a month, so the number holds. The conclusion does not: 17Hats appears in the same list, and its only published monthly price, read September 11, 2026, is $60 a month.

The Flothemes roundup, also ranking for this term when checked September 8, 2026, is dated "Updated on: July 22, 2024," publishes no prices and still offers a ShootQ promo code with the line "The code will expire on 9/30/16." It also recommends Tave at www.tave.com. Fetched on September 8, 2026, tave.com returned HTTP 404, tave.com/pricing/ redirected to a pricing.vsco.page address that answered HTTP 410 Gone, and www.tave.com returned HTTP 502 on five consecutive requests. A recheck on September 28, 2026, returned the same three responses.

VSCO's own page at vsco.co/workspace, read September 10, 2026, says Tave's Studio Manager became VSCO Workspace after VSCO acquired it in May 2025. The same page prices VSCO One, a bundle that includes Workspace, at $499.99 a year, billed annually, shown as $41.67 a month. VSCO Workspace is not in the comparison above.

The Home Studio List page titled "23 Top Photography Studio Management Software" published no price for any of the 23 tools it named when checked September 8, 2026. A roundup with no prices leaves the cost comparison, the part this article is built on, to the reader.

Where Twizzlo fits, and where it does not

Twizzlo is not a photography studio CRM, and this article is not going to pretend otherwise. Business Pro stays $29.99 a month per business at 1, 3, 4 or 10 bookable photographers. At four photographers, only Pixieset Studio Manager Pro ($24 a month billed monthly, no published seat limit, no workflow automation listed) publishes a lower subscription among the routes in Table 4; at that size, Studio Ninja's route is $40 and Sprout Studio's is $69. The Free plan includes online booking, prepaid bookings and online payments; it differs from Business Pro by the 150-booking monthly cap and by having no SMS. The honest read on Twizzlo is a split. For a solo photographer whose real problem is contracts and questionnaires rather than seats, Pixieset Studio Manager Plus at $12 a month billed annually, or Studio Ninja Starter at $16 a month, does more of that job than Twizzlo does. For a studio with four or more bookable photographers whose real problem is turning inquiries into paid bookings, Business Pro costs the same at four photographers as at one, while every seat-metered plan in Table 4 that lists online booking costs more than $29.99 a month at that size.
