Waitwhile for Barbershops: When a Walk-In Queue Fits Better Than a Booking App
In short
Waitwhile suits a barbershop where walk-ins wait for a chair: clients join a virtual line and get a message when it is their turn. Its pricing, read October 8, 2026, counts walk-ins and appointments as visits. Free covers 50 a month, Starter starts at $39 a month billed monthly, and LineSync, which merges the line with bookings, needs Business.
- Count a busy Saturday and a quiet weekday: the walk-in share is the best starting point for a queue, a booking app or both.
- Over its visit cap, Waitwhile stops adding new guests until the next billing cycle, so size the plan to your busiest month.
- Texts are bought separately: at Waitwhile's U.S. rate, read October 8, 2026, 720 single-segment texts come to about $5.16.

A barbershop with a full bench on Saturday and empty chairs on Tuesday has two different problems: the line and the calendar. For barbershops using Waitwhile appointment scheduling, or weighing it, the useful question is which of the two the shop needs most, and what Waitwhile charges for it.
We read Waitwhile's barbershop page, its 2023 barbershop guide, pricing page, help center and Sgro's Barbershop case study on October 8, 2026, from a Canadian connection. Waitwhile's pricing page and plan table show prices with a dollar sign and no currency name. We did not use Waitwhile. Its own pages filled every result we checked for this search except one booking-app roundup, so Waitwhile is the only product priced here. Booking apps such as Booksy and Square Appointments are priced in our guide to the best booking app for barbers and in our booking software comparisons. Twizzlo, which publishes this guide, also sells booking software, so it stays out of the tables and has its own section. The example shops are hypothetical.
If you would rather keep walk-ins and booked cuts on one calendar, our barbershop booking software page shows walk-ins added to a barber's calendar beside booked appointments.
What Waitwhile does for a barbershop
Waitwhile runs a virtual line for walk-ins and an online booking page for appointments, from the same account and in a web browser, so clients install nothing.
Its barbershop page describes clients joining a same-day waitlist or booking a service from home or from a tablet in the lobby. Waitwhile then alerts them with a message when it is their turn, so they can wait somewhere else. Barbers manage their calendars from any device, and the owner sees everyone's availability in one place.
The same page says Waitwhile syncs appointments and walk-ins into one stream. The pricing page lists the feature that merges appointments and waitlisted customers, LineSync, on the Business and Enterprise plans only, so check the plan before you count on it.
Waitwhile's 2023 barbershop guide adds two points: wait-time estimates that update clients automatically, and booking or joining the line from the shop's Google Maps listing. The pricing page lists WaitIQ, its wait-time estimates, on Business and Enterprise only. It lists a check-in kiosk and a TV display of the line on every plan, and two-way text messages (SMS) and email, so clients can write back to the shop.
Walk-in queue or booking app: decide by walk-in share
Decide by the share of a normal day's cuts that walk in: a booking app below about one in five, both in one view up to three in five, and a queue first above that.
| Walk-in share of a day's cuts | What usually goes wrong | Setup that fits | Waitwhile plan that carries it |
|---|---|---|---|
| Under about 1 in 5 | A walk-in waits for a gap, and an online client can book the time a walk-in just took | A booking app; add each walk-in to the barber's calendar | Bookings module, every plan |
| About 1 in 5 to 3 in 5 | Booked clients and walk-ins compete for the same chair, so quoted waits slip | Both, in one view of the day | LineSync, Business and Enterprise |
| Over about 3 in 5 | The bench fills and clients leave rather than wait | A queue that texts clients when it is their turn; bookings optional | Waitlist module, every plan; WaitIQ wait estimates on Business |
Table 1. Setup by walk-in share. The share bands are this guide's rule of thumb, not measured thresholds. Waitwhile plan features from its pricing page, read October 8, 2026.
The bands are a starting point. A shop at 15% walk-ins with one barber who takes no bookings behaves like a queue shop for that chair. Count by barber as well as by shop.
Vendor guides quote industry walk-in and waiting statistics, but the pages we read do not show how those figures were measured, so this guide leaves them out. Your own count from one busy Saturday and one quiet weekday is the better input. The same count settles it for a salon, whether the owner is weighing a salon waitlist app or walk-in salon software.
What does Waitwhile cost a barbershop?
Waitwhile's help center plan table, read October 8, 2026, lists Free at $0 for 50 visits a month, and Starter at $39 and Business at $69 a month billed monthly. Annual billing lowers them to $31 and $55.
| Plan | Billed monthly | Billed annually | Visits, first tier | Most visits | Locations | LineSync | WaitIQ estimates | Custom client messages |
|---|---|---|---|---|---|---|---|---|
| Free | $0 | $0 | 50 | 50 | 1 | No | No | No |
| Starter | $39 a month per location | $31 a month per location | 250 | 2,500 | Up to 10 | No | No | Yes |
| Business | $69 a month per location | $55 a month per location | 500 | 5,000 | Up to 10 | Yes | Yes | Yes |
| Enterprise | Custom | Custom | Custom | Custom | Custom | Yes | Yes | Yes |
Table 2. Waitwhile plans as its help center and pricing page showed them, read October 8, 2026, from a Canadian connection; prices appear with a dollar sign and no currency name. Higher tiers add locations or visits, and the pricing page's calculator shows their price.
That table sets per-location prices for new paid subscriptions, and for existing customers who change plans, from June 16, 2025. The pricing page, read the same day, shows Starter and Business as "starts at" $31 and $55 a month, the annual figures, with a calculator for higher tiers. Its first Starter tier covers one location and 250 visits.
The pricing page also sets the rules that decide what a barbershop pays. Waitlisted guests and scheduled appointments across all locations both count as visits. Over the limit, you keep access to the waitlist but cannot add new guests until the next billing cycle, unless you upgrade.
Text messages cost extra beyond a $2 trial credit that the pricing page lists. The plan table article says that from the first renewal after June 16, 2025, no plan includes SMS credits by default; you buy them through auto-refill. Email is included on every plan, and Free allows five emails per visit. The SMS price table, read the same day, lists $0.00717 per outbound segment and $0.00347 per inbound one in the United States, a table the page says it updates quarterly.
Three example shops against Waitwhile's visit caps
Walk-ins push a shop past Waitwhile's caps faster than its booked calendar suggests: the three hypothetical shops below run 176, 480 and 1,248 visits a month once walk-ins are counted.
| Shop (hypothetical) | Chairs | Booked a day | Walk-ins a day | Open days a month | Visits a month | Walk-in share | Smallest first tier that covers it |
|---|---|---|---|---|---|---|---|
| A: solo barber | 1 | 7 | 1 | 22 | 176 | 12.5% | Starter (250) |
| B: two-chair hybrid | 2 | 10 | 10 | 24 | 480 | 50% | Business (500) |
| C: four-chair walk-in shop | 4 | 12 | 36 | 26 | 1,248 | 75% | None; above both first tiers |
Table 3. Hypothetical shops. Visits are cuts a day times open days; first-tier caps from Waitwhile's help center and pricing page, read October 8, 2026.
Shop A's 176 visits fit Starter's 250-visit first tier, at $39 a month billed monthly as read October 8, 2026. Shop B's 480 visits need a 500-visit tier, and LineSync, which it wants for a hybrid day, comes only with Business, at $69 a month for that tier. Shop C's 1,248 visits sit above both first tiers, so its price comes from the calculator. To price a shop like C, pick one location and about 1,250 visits a month there, and compare Starter with Business before you sign up.
Texts stay small at the U.S. rate. If Shop B sends each walk-in two texts, one on joining and one when the chair is ready, and each booked client one reminder, that is 720 single-segment texts a month: about $5.16 before replies. Shop C's 2,184 texts come to about $15.66.
Which Waitwhile plan fits which barbershop
Match the plan to the job: Free tests the line, Starter covers a small booking-first shop, and Business merges walk-ins with appointments, as Waitwhile listed its plans on October 8, 2026.
| Barbershop profile | Cheapest qualifying plan | Listed price | Read |
|---|---|---|---|
| Testing a queue on quiet days, under 50 visits a month | Free | $0 | October 8, 2026 |
| One location, mostly booked, up to 250 visits a month, no merged line | Starter, first tier | $39 a month ($31 a month billed annually) | October 8, 2026 |
| One location, hybrid, up to 500 visits a month, walk-ins and bookings in one line | Business, first tier | $69 a month ($55 a month billed annually) | October 8, 2026 |
| One location, walk-in heavy, more than 500 visits a month | Starter or Business, higher tier | Shown in the pricing page calculator; not recorded here | October 8, 2026 |
Table 4. Cheapest Waitwhile plan for each profile, from the help center plan table and pricing page, read October 8, 2026. A higher tier adds visits; the calculator gives its price.
If the shop is booking-first, runs over 50 visits a month and wants to pay nothing, no Waitwhile plan fits; our free barber booking app guide compares $0 booking apps.
What to test before you switch
Test the line and the cap with your own numbers before you move clients: a free account and a count of one busy Saturday and one quiet weekday show most of what matters.
- Count one busy Saturday and one quiet weekday by hand: every cut, booked or walked in, and by which barber.
- Add a month's visits, walk-ins included, and compare them with the plan's cap.
- If the line must allow for booked clients, test LineSync on Business; Free and Starter list the waitlist and bookings modules without it.
- Join your own line from a phone and check the message that says it is your turn, as a client would.
- Check payments: the pricing page's feature table lists no row for taking client payments or prepaid bookings, so ask Waitwhile how a booked cut is paid before you rely on it against no-shows.
- Check support hours: Starter and Business list chat and email from 9 a.m. to 6 p.m. Eastern, Monday to Friday; Free lists chat for the first 30 days.
- Check how you would leave: the pricing page lists import and export of customer and visit data on Business and Enterprise.
Write the rules for booked cuts before you open online booking. Our barber no-show policy template covers late arrivals and fees.
Before you move a walk-in shop to bookings, read Waitwhile's case study on Sgro's Barbershop, the vendor's own story. The Cleveland shop had served only walk-ins since the 1960s, moved to appointments under local mandates in 2020 and stayed with them. The owner says setup took about an hour.
Where Twizzlo fits
Twizzlo is web-based online booking and appointment scheduling software for appointment-based service businesses, and it fits the booking-first side of this decision.
Twizzlo's features page lists walk-in bookings, so staff add a walk-in to a barber's calendar beside the booked cuts. The same page does not list a virtual queue, a waitlist or a text that tells a walk-in the chair is ready. A shop where most cuts walk in is better served by a queue tool.
Clients book 24/7 from your link and can reschedule themselves. Prepaid bookings take the full service price, with tips, through Stripe.
Email confirmations and reminders are included on both plans. Text messages are on Business Pro only: 50 SMS a month are included, then $0.03 each. Free has no SMS.
Free is $0 a month for up to 150 bookings, free forever and not a trial. Business Pro is $29.99 a month per business for unlimited bookings, with a 30-day money-back guarantee. Both plans include unlimited staff and locations. Online payments carry your Stripe processing rate plus a 1.5% Twizzlo platform fee. Details are on the Twizzlo pricing page.
Shop A from Table 3 would put 176 visits a month on the calendar, walk-ins included, which is above Free's 150 bookings, so Business Pro applies. Reminder texts for its 154 booked cuts use the 50 included and 104 more at $0.03, or $3.12, for $33.11 a month before payment fees. Shop B, at 480 visits, also needs Business Pro; reminders for its 240 booked cuts use the 50 included and 190 more, or $5.70, for $35.69 a month before payment fees. The platform fee on a prepaid $40 haircut is $0.60, before your Stripe rate.
To try it with your own Saturday count, you can start on the Free plan and move to Business Pro when you pass 150 bookings a month or want text reminders.
Frequently asked questions
Is Waitwhile free for a barbershop?
Yes, at a small volume. Waitwhile's Free plan, read October 8, 2026, is $0 for one location and 50 visits a month, with the waitlist and bookings modules. A shop doing eight cuts a day passes 50 visits on its seventh working day, so most barbershops would test on Free and then pay.
Does Waitwhile take appointments or only walk-ins?
Both. Its pricing page, read October 8, 2026, lists a waitlist module and a bookings module on every plan. LineSync, which the page describes as merging appointments and waitlisted customers, is listed only on Business and Enterprise.
Do walk-ins count toward Waitwhile's visit limit?
Yes. Waitwhile's pricing questions, read October 8, 2026, count both waitlisted guests and scheduled appointments, across all locations. Once a shop reaches its limit, it cannot add new guests until the billing cycle resets or it upgrades.
Does Waitwhile charge for text messages?
Yes, separately from the plan. Its help center, read October 8, 2026, says plans no longer include SMS credits by default from the first renewal after June 16, 2025. Its U.S. rate is $0.00717 per outbound segment and $0.00347 per inbound one.
Should a walk-in barbershop switch to appointments only?
Only if your own count supports it. Waitwhile's case study on Sgro's Barbershop, read October 8, 2026, describes a walk-in shop since the 1960s that local mandates pushed to appointments in 2020 and that kept them afterward; it is the vendor's own story. The walk-in guide from Zenoti, another software vendor, advises phasing a change in so regulars are not locked out.
