Spa Software for Small Business: Rooms, Card Fees and the All-In Monthly Bill

In short

For a small day spa, the plan price is usually the smaller part of the bill. First decide whether treatment rooms or therapists run out first, because on some platforms room scheduling sets the plan tier. Then compare online card rates: in our worked month of 100 prepaid $120 treatments, card fees were 70% to 87% of the total.

  • Decide whether treatment rooms or therapists run out first; room scheduling is what moves a small spa to a higher plan on some platforms.
  • In our worked month of 100 prepaid $120 treatments, card fees made up 70% to 87% of the bill on all four platforms priced.
  • Price your real team and payment mix on each vendor's page, counting front-desk users, required add-ons and merchant fees.

A two-room day spa and a resort spa type the same search, but they need different software and pay very different bills. In this guide, spa software for small business means software for the small one: one location, two to four therapists, non-medical treatments such as massage, facials and body work, and often fewer treatment rooms than therapists. It adds up what that spa actually pays in a month. If you want to see how Twizzlo sets up a spa, our spa booking software page covers it.

How we built it: we read each vendor's own pricing page or help center on October 2, 2026 and quote US dollars before tax. In the words of our editorial policy, "We read prices from the vendor's own pricing page or help documentation, not from other review sites," and "Unknown is not no": where a page does not list a feature, we say so instead of assuming it is missing. We did not test these products hands-on. Twizzlo, which publishes this guide, sells booking software, so its plans sit in their own section below.

What a small day spa needs, and what it can skip

Strip away the feature lists and a small spa needs its software to do six jobs well:

  • Take bookings at any hour from a page that shows the real treatment menu, with true durations and cleanup time between guests.

  • Keep two guests out of the same room at the same time, if rooms or a shared piece of equipment run out before therapists do.

  • Take payment in advance for long or premium treatments, and enforce a cancellation and no-show policy.

  • Send reminders by email and text.

  • Keep client notes with the booking: pressure preference, product allergies and visit history.

  • Show who is working, with each therapist's hours and time off.

What a small spa can usually leave for later: payroll, retail ordering, a branded app and multi-location reporting. They are real features, but they are often sold as a higher tier or a paid add-on; Mangomint, for example, lists payroll at $50 a month plus $8 per worker on its pricing page, read October 2, 2026. A two-room spa pays for a tier every month whether or not it uses what the tier adds. Several guides that rank for this search are written by software vendors, some built for medical spas, which is why their must-have lists run longer than this one.

Rooms or therapists: which runs out first?

Booking tools treat the therapist as the thing being booked. If every therapist works in their own room, that is enough: when the therapist is busy, so is the room. The trouble starts when rooms run out first. Three therapists sharing two rooms, a couples room that needs two therapists at once, or one hydrotherapy tub used by several treatments all need the software to check that the room or equipment is free as well as the therapist. Vendors call this room scheduling or resource management, and they put it on very different tiers.

Decision flow for a small spa. First question: do treatment rooms or shared equipment run out before therapists? If yes, shortlist plans that name room or resource scheduling; if no, any plan with online booking and your no-show rules can work. Second question: will most guests pay online when they book? If yes, rank plans by the online card rate, where every 0.1 point is $12 a month on 100 payments of $120; if no, rank by the subscription at your real headcount.
Figure 1. Illustrative decision guide, not vendor data. The $12 is 0.1% of $12,000, the online volume in the worked example below.

Table 1 shows where each platform puts it, what a small team pays and the rate it charges for a payment taken online, all from the vendors' own pages read October 2, 2026.

Platform Room or resource scheduling What a small team pays Online card rate
GlossGenius "Room & Resource Management" on Gold and Platinum Standard $28, Gold $56 (up to 9 staff), Platinum $168 (teams of 10+), billed monthly; $24, $48 and $148 billed annually Flat 2.6%
Vagaro "Calendar & resource management" listed as included with every plan* $23.99 a month, a limited-time rate, with one calendar; $10 a month per added employee calendar, up to seven licenses 3.5% + $0.19 keyed-in, which Vagaro says includes online payments
Square Appointments "Resource management" on Premium only Free $0, Plus $49, Premium $149 a month per location; unlimited staff calendars 3.3% + 30 cents on Free; 2.9% + 30 cents on Plus and Premium
Boulevard "Resource scheduling" on Essentials, Premier and Prestige Essentials $143 a month billed annually, up to 5 providers; Premier normally $293 a month billed annually per location ($234 on a limited-time fall offer for new customers) "Starting at 2.65%"
Mangomint Not named on its pricing page $120 a month per location plus $10 a month per user; anyone with a profile counts, front desk included 2.90% + 30 cents for virtual payments

Table 1. Read on each vendor's own pricing or help page on October 2, 2026, US dollars before tax. *Vagaro's pricing page served its Canadian edition to our reader, so only this feature line is quoted from it. Vagaro's prices and rates come from its US help center. "Not named" describes the page, not the product. Plan detail: Vagaro pricing, GlossGenius pricing and Square Appointments pricing.

The pattern matters for a small spa. Square Appointments Free is $0, but rooms need Premium at $149 a month per location, a step past Plus at $49. GlossGenius doubles from Standard at $28 to Gold at $56 billed monthly for the same reason. Vagaro and Boulevard list resource scheduling on every plan and charge by calendar or by tier instead, and Mangomint's pricing page does not mention it, so ask about rooms in a demo before you buy.

Fresha is not in the table. Its pricing page showed Canadian prices to our reader on October 2, 2026, so we print no Fresha figure. It lists paid Independent and Team plans and a one-time commission on brand-new clients who find you through the Fresha marketplace. Confirm the current US price on Fresha's pricing page, and see our Fresha comparison page.

A worked month: two rooms, three therapists, 100 prepaid treatments

Plan prices alone hide most of the bill. To see the whole month, take one hypothetical spa and price it on the four platforms whose pages publish every number the month needs:

  • One location, with two treatment rooms shared by three therapists, so the plan must schedule rooms.

  • One front-desk lead with a profile, who counts as a user where a vendor bills per user.

  • 200 treatments a month, 100 of them paid online when the guest books, at $120 each: $12,000 of online card payments.

  • The other 100 are paid at the visit and left out of the card-fee column, because in-person rates differ by plan and by how the card is taken.

Each platform's plan is the cheapest one that names room or resource scheduling, with Mangomint's exception noted, plus anything the vendor requires for taking payment online at booking.

Platform and plan Plan and required fees Fee on one $120 online payment Card fees on 100 payments Month, all in
GlossGenius Gold $56.00 $3.12 $312.00 $368.00
Vagaro, 3 calendars $63.99: $43.99 for three calendars at the limited-time rate, Online Shopping Cart $10, Large Merchant $10 $4.39 $439.00 $502.99, plus FANF and Mastercard location fees
Square Appointments Premium $149.00 $3.78 $378.00 $527.00
Mangomint, 4 users $160.00: $120 per location, 4 users at $10 $3.78 $378.00 $538.00

Table 2. Worked example with hypothetical inputs, not a measured average. Prices and rates read on each vendor's own page on October 2, 2026; US dollars before tax. Vagaro requires its Online Shopping Cart add-on for deposits and cancellation fees on online appointments, and above $4,000 a month in card volume its Large Merchant plan adds $10 a month. Mangomint's pricing page does not name room scheduling. Boulevard is left out because it publishes only "starting at 2.65%".

Stacked bar chart of one month at a hypothetical two-room day spa with 100 treatments of $120 paid online: GlossGenius Gold $56 plan plus $312 card fees, $368.00; Vagaro $63.99 plus $439, $502.99; Square Appointments Premium $149 plus $378, $527.00; Mangomint $160 plus $378, $538.00.
Figure 2. Worked example, not a measured average: plan and required fees plus card fees for one month, at prices and rates read on each vendor's own page on October 2, 2026, US dollars before tax. The same figures are in Table 2.

Three results stand out. First, card fees were 70% to 87% of the month on every platform, from $312 on GlossGenius to $439 on Vagaro, against plans of $56 to $160. Second, the plan price did not decide the order: Vagaro's plan and required fees are $7.99 more than GlossGenius Gold, but its higher rate for online payments makes the month $134.99 more. Third, Square Appointments Premium and Mangomint charge the same $3.78 on a $120 online payment, so the gap between them is the plan: $11 a month in this example.

If your spa takes fewer prepayments, the order can change. Every 10 prepaid $120 treatments add $31.20 on GlossGenius, $37.80 on Square Appointments Plus or Premium and on Mangomint, and $43.90 on Vagaro, so a spa that is paid mostly at the visit should give the plan price more weight.

How to keep fees from running the bill

Because the rate applies to every prepaid treatment, a rate gap of one percentage point costs $120 a month in the worked example, more than the $100 step from Square Appointments Plus to Premium. On $12,000 of online payments a month, every 0.1 percentage point of rate is $12 a month, or $144 a year. Four checks are worth making before you sign:

  • Ask whether the rate changes with volume. Square Appointments invites businesses processing over $250,000 a year to ask about custom pricing, and Mangomint says large businesses may qualify for custom rates (pricing pages read October 2, 2026).

  • Read the fine print on online payments. Vagaro counts online payments as keyed-in transactions, at 3.5% + $0.19, and adds FANF and Mastercard location fees. Boulevard prints "Starting at 2.65% or as low as 1% with Boulevard Offset" and publishes no fixed fee.

  • Decide how much to take in advance. Prepaying a $120 treatment in full puts the whole $120 through the online rate. Square Appointments and GlossGenius both list deposits, which cut the fee but also cut what you keep when a guest does not arrive.

  • Check what texts cost. Mangomint includes unlimited text and email appointment reminders. Square Appointments lists appointment reminders on every plan, and Boulevard Essentials includes 250 free texts (pages read October 2, 2026).

Where Twizzlo fits a small spa, and where it does not

Twizzlo is our product, so here it is on the same terms as the platforms above. It has two plans, Free and Business Pro. Both include unlimited staff and locations, so hiring a fourth therapist never changes the price. Online payments carry your Stripe processing rate plus a 1.5% Twizzlo platform fee. Support is available 24/7 at support@twizzlo.com. The full list is on Twizzlo's features page, and plan limits are on Twizzlo's pricing page.

Twizzlo Free

Twizzlo Free is $0 a month for up to 150 bookings, with no SMS, and it is free forever, not a trial. Confirmations and reminders go by email. It includes the core booking, client, staff, insights and online payment features.

Twizzlo Business Pro

Business Pro is $29.99 a month per business for unlimited bookings, with 50 SMS a month included and $0.03 for each one after that. It includes every Twizzlo feature with no paid add-ons, and it comes with a 30-day money-back guarantee.

What a small spa gets on either plan

For the six jobs listed at the top, Twizzlo covers a 24/7 booking page with buffer times and custom booking rules, prepaid bookings through Stripe at the full service price, a no-show fee setting you control, email reminders (and SMS reminders on Business Pro), client profiles with notes, preferences and allergies, and Employee Shifts: multi-location staff shifts and schedules. Guests can reschedule themselves and add a tip when they pay online. When a guest skips a prepaid booking, keeping or refunding the money is your decision.

The same worked month on Twizzlo

The worked month has 200 treatments, above Free's 150-booking limit, so it needs Business Pro: $29.99, plus the 1.5% platform fee on $12,000 of online payments, $180.00. If every booking gets one SMS reminder, the 150 SMS beyond the 50 included add $4.50, for $214.49 before Stripe processing. Stripe sets the rate for your account, not Twizzlo, so add it before you compare. On one $120 prepayment the platform fee is $1.80. With Stripe's charge on top, Twizzlo's cost per payment comes in under the lowest fee in Table 2 only if Stripe charges your account less than $1.32 on a $120 payment, and it is above every fee in the table once Stripe charges more than $2.59. For the whole month to come in under the lowest total in Table 2, Stripe's charges on the $12,000 would need to stay under $153.51.

Where Twizzlo does not fit

The worked month assumes three therapists sharing two rooms, and Twizzlo's features page does not list room or resource scheduling, so a spa whose rooms run out first should shortlist a platform in Table 1 that names it. Twizzlo's features page also does not list packages, memberships or gift cards. And for a spa that prepays most treatments online, the platform fee grows with every booking. Twizzlo fits best where each therapist works in their own room, the team is growing and many guests pay at the visit, which staff can record as manual payments. In that case you can start on the Free plan and move to Business Pro when you need SMS or more than 150 bookings a month.

How to test a platform before you switch

  1. Enter your real treatment menu with durations and cleanup time, not a sample menu.

  2. Recreate your tightest day: add your therapists and rooms, then try to book two guests into the same room at the same time. If the software accepts it, it is not checking rooms.

  3. Book yourself as a guest from your phone and pay online. Find that payment in the payout report and compare the fee taken with the rate in Table 1.

  4. Cancel the test booking inside your cancellation window and check that the policy applies the way you wrote it. If you are writing one for the first time, see how to set a no-show charge.

  5. Read the reminder that arrives: when it came, whether by text or email, and whether it counts against a monthly allowance.

  6. Add a client note with a product allergy and check that it shows on that client's next booking.

  7. Run the old and new systems side by side for two weeks, and keep the old calendar until every future booking exists in the new one.

Trial terms decide how much of this you can do before paying: GlossGenius offers 14 days with no credit card, Square Appointments 30 days on Plus and Premium, Mangomint a free trial account with demo data, and Boulevard a demo (pages read October 2, 2026).

Which setup fits which small spa?

  • A solo therapist in one room: rooms are not the limit, so compare the subscription and the online rate. Square Appointments Free is $0 per location at 3.3% + 30 cents online, and GlossGenius Standard is $28 billed monthly at a flat 2.6% (read October 2, 2026). A solo esthetician weighing marketplaces should also read our guide to the best booking sites for estheticians.

  • Two to four therapists sharing fewer rooms: GlossGenius Gold at $56 and Vagaro at $43.99 for three calendars on its limited-time rate both list room or resource scheduling. Add Vagaro's Online Shopping Cart and its Large Merchant fee above $4,000 a month in card volume, as in our worked month, and Vagaro comes to $63.99; GlossGenius had the lowest total there because of its flat rate.

  • Every therapist in their own room: room scheduling is not needed, so rank plans by the price at your real headcount and by how many guests pay online.

  • Four or five providers who want a premium front desk: compare Boulevard Essentials, which covers up to 5 providers, with Mangomint at $120 per location plus $10 per user; our Mangomint vs Boulevard comparison prices both by team size.

Frequently asked questions

How much does spa software cost for a small business?

On vendor pages read October 2, 2026, plans that list room or resource scheduling cost $43.99 a month for three calendars on Vagaro's limited-time rate, $56 for GlossGenius Gold and $149 for Square Appointments Premium per location, before card fees. Add Vagaro's Online Shopping Cart and its Large Merchant fee above $4,000 a month in card volume, as in our worked month, and Vagaro comes to $63.99. In that month of 100 prepaid $120 treatments, card fees added $312 to $439.

Does a small spa need room or resource scheduling?

Only if something other than the therapist limits your bookings: fewer rooms than therapists, a couples room, or equipment that several treatments share. If every therapist works in their own room, the therapist's calendar already blocks the room.

Which costs more for a small spa, the plan or the card fees?

For a spa that takes many payments online, the card fees. In our worked month of 100 treatments of $120 paid online, at rates read October 2, 2026, card fees were 70% to 87% of the bill on GlossGenius, Vagaro, Square Appointments and Mangomint.

Is there free software for a small spa?

Square Appointments Free is $0 a month per location with unlimited staff calendars, appointment reminders and prepayments, but resource management is on Premium only and cancellation and no-show fees start on Plus, per its pricing page read October 2, 2026. GlossGenius lists no free plan and offers a 14-day trial.

What is the difference between salon software and spa software?

Mostly scheduling. Spa treatments run longer, need cleanup time between guests and often depend on a room, a couples suite or shared equipment, so spa software needs buffer times and, for many spas, room or resource scheduling. Salon bookings usually follow the stylist's chair.

Can I switch spa software later without losing clients?

Yes, with planning. Run the old and new systems side by side until every future booking is in the new one, and ask the new vendor what it moves for you; Mangomint's pricing page, read October 2, 2026, lists free onboarding that includes free data transfer.

Does Twizzlo schedule treatment rooms?

Twizzlo's features page does not list room or resource scheduling. Twizzlo schedules by staff member, with buffer times, custom booking rules and staff shifts, so it fits spas where each therapist works in their own room.

Sources and methodology

Method: prices, plan limits and rates were read on each vendor's own pricing page or help center on October 2, 2026, in US dollars before tax. Vagaro's pricing page and Stripe's pricing page served Canadian editions to our reading location. So Vagaro's prices and rates come from its US help center, and no Stripe figure is used. Fresha showed only Canadian prices, so no Fresha figure is used. Boulevard's page showed annual billing. Table 2 and Figure 2 are a worked example with hypothetical inputs. Each published percentage is applied to $120 and the published fixed fee is added. The result is multiplied by 100 payments, and the plan and required fees are added. No product was tested hands-on.

  • GlossGenius pricing page: plan prices billed monthly and annually, staff limits, Room & Resource Management on Gold and Platinum, deposits, the flat 2.6% rate and the 14-day trial, read October 2, 2026.
