Best Online Booking Systems for Massage Therapists: Plans, Card Fees and Fit

An online booking system lets clients pick a massage, a therapist and a time from a link, then pay ahead and get a reminder. Most tools do that. What separates them for a solo therapist is the plan you need for text reminders and prepayment, and the card fee taken from every prepaid session. This guide picks the best online booking system for massage therapists on those two costs.
We read each vendor's own pricing and payments pages on October 6, 2026, from a Canadian connection, and Vagaro's base-feature list on September 28, 2026. We did not use any of the products. The set starts with the five tools named by the page that ranked first in our search that day: Booksy, Setmore, BookingPress, WellnessLiving and MassageBook. We added Square Appointments, Acuity Scheduling and Vagaro, which other booking roundups on that results page name, and Calendesk, whose own guide ranked in the top three. SimplyBook.me's own page also ranked in the top three. Twizzlo, which publishes this guide, also sells booking software, so it stays out of the comparison tables and has its own section.
BookingPress and SimplyBook.me are not compared further. BookingPress is a WordPress plugin, listed at $89 a year for Standard (regular price $99) on October 6, 2026, so it suits only a therapist whose website already runs on WordPress. SimplyBook.me showed its plans in Canadian dollars to our reading location that day, so we list no SimplyBook.me price. Other tools that the lower-ranked roundups name, such as Fresha, Mindbody and Mangomint, are left out because the first-ranked page does not name them. ClinicSense, Jane and Noterro are charting platforms, covered further down. This guide also skips phone apps, ease of use and star ratings, because a pricing page cannot show them and we did not use the products.

What does each online booking system charge a solo therapist?
The cheapest plan with text reminders ran from $0 on Square Appointments Free to $97 on Calendesk Standard, on pages read October 6, 2026. Setmore, Acuity Scheduling and MassageBook keep text reminders off their lowest plan.

The roundup that ranked first in our search still lists MassageBook at $9.99, $24.99 and $49.99 a month. MassageBook's own page showed $29 for Launch, $59 for Practice and $99 for Clinic on October 6, 2026, so check any price against the vendor before you sign up.
What do 40 and 80 prepaid sessions cost each month?
At 40 prepaid $100 sessions a month, the total ran from $140 on Setmore Pro to $205 on MassageBook Practice, card fees included, on rates read October 6, 2026. At 80 sessions, Setmore Pro and Booksy finish within $1.19 of each other.
The example is hypothetical: one therapist, $100 a session, every session prepaid online by card at booking, with one text reminder each. Card fees use the online rate each vendor lists. Five options list one, so they get a full total.

Card fees exceed the plan price for all five options at 40 sessions. Setmore Pro's $12 plan plus $128 in Stripe fees comes in under Square Free, where the plan is $0 but each $100 payment costs $3.60 instead of $3.20.
Which booking system is cheapest as your sessions grow?
Square Appointments Free costs least below 30 prepaid sessions a month, Setmore Pro from 31 to 85, and Booksy from 86, on plans billed monthly and rates read October 6, 2026. Square Plus pays back on its rate alone above $12,250 a month in online card sales.

Square Plus costs $49 more than Free and saves 0.4% of each online payment, so it breaks even at $12,250 a month in online card sales, or 123 sessions at $100. Below that, buy Plus for its cancellation policy and no-show fees, not for the rate.
Payment at the table costs less per session than prepaying online on Square, Booksy and MassageBook, on rates read October 6, 2026. On a $100 session, Square Free charges $2.75 in person against $3.60 online, Booksy $2.59 on its card reader against $2.99, and MassageBook $2.75 against $3.65. In-person rates apply to card-present payments, which need a card reader or, on Booksy, Tap to Pay at 2.49% plus $0.20; Booksy lists its readers from $53.10 plus shipping. One way to use both rates is to require prepayment for first visits and take regulars' cards at the table.
No-show fees, intake forms and new-client listings
Booksy and MassageBook Practice list all three, and Vagaro lists them with paid add-ons, on pages read October 6, 2026. WellnessLiving Starter lists forms and a directory listing; Square Appointments Free and Setmore Pro list none of the three.

Square Appointments
Square Appointments Free is $0 a month per location, with Plus at $49 and Premium at $149, on Square's U.S. pricing page read October 6, 2026. Its plan grid lists appointment reminders, prepayments and deposits on all three plans, and cancellation policy and no-show fees from Plus. Online card payments cost 3.3% plus 30 cents on Free and 2.9% plus 30 cents on Plus and Premium. Staff calendars are unlimited on every plan. Square Appointments suits a therapist who wants text reminders and online prepayment with no monthly fee and accepts the 3.3% plus 30 cents online rate.
Setmore
Setmore Pro is $12 per user a month, or $5 billed annually, on Setmore's pricing page read October 6, 2026. Pro lists text message (SMS) and email reminders, with 500 SMS credits a month per Pro team member, plus deposits, recurring appointments and two-way calendar sync. Setmore Free is $0 for up to four users, with one email reminder and no deposits. Its payments page lists Stripe at 2.9% plus $0.30 online, says rates may vary by country, and says Setmore adds no transaction charge. More plan detail is on our Setmore pricing page. Setmore suits a solo therapist who wants text reminders, deposits and two-way calendar sync for $12 a month, or $5 billed annually.
Booksy
Booksy is $29.99 a month plus tax with every feature included, and $20 a month for each added user, on Booksy's pricing page read October 6, 2026. Mobile payments and keyed-in entry cost 2.69% plus $0.30, and its card reader 2.49% plus $0.10. Booksy's no-show protection page lists deposits at booking, cancellation fees and free reminder texts. Acuity Scheduling
Acuity Scheduling Standard is $34 a month, or $27 billed annually, for up to six calendars, on Acuity's pricing page read October 6, 2026, which lists prices in USD before tax. Starter is $20 for one calendar with email reminders; text reminders start on Standard. Every plan includes custom client forms and takes payments and deposits through Stripe, Square, PayPal or Venmo. Its payments page says Acuity adds no fee of its own and that a stored card or prepayment lets you charge cancellation or no-show fees. Our Acuity pricing page has the full plan list. Acuity Scheduling suits a therapist who wants intake forms on the booking page and already holds a Stripe, Square or PayPal account.
Vagaro
Vagaro's U.S. base subscription is $23.99 a month, a limited-time rate, with one calendar and $10 for each added calendar up to seven licenses, on Vagaro's plans and pricing article read October 6, 2026. Online Shopping Cart, at $10 a month, adds deposits and cancellation fees for online appointments, and the Forms add-on, also $10, covers intake forms. The article lists 2.6% plus $0.10 in person and 3.5% plus $0.19 keyed in for businesses under $4,000 a month in card sales, with no separate online rate. Monthly fixed acquirer network fee (FANF) and Mastercard location fees come on top. Its base subscription features, read September 28, 2026, include reminders by text and email. MassageBook
MassageBook Practice is $59 a month on MassageBook's pricing page read October 6, 2026. Members of the American Massage Therapy Association (AMTA) pay $44.25, and members of Associated Bodywork & Massage Professionals (ABMP) pay $53.10. Practice adds text and email reminders, intake forms and premium SOAP (subjective, objective, assessment and plan) notes to Launch, which is $29 and includes basic SOAP notes and a directory listing. Clinic, at $99, adds unlimited staff seats and room assignment, and every plan lists client records. Its payments page lists 2.6% plus $0.15 for card-present payments and 3.5% plus $0.15 for all others through Stripe or Square. The page shows no annual billing. MassageBook suits an AMTA or ABMP member who wants treatment notes and booking in one massage-only tool.
WellnessLiving
WellnessLiving Starter is $69 a month, or $62 billed annually, for one staff member, on WellnessLiving's pricing page read October 6, 2026. Starter lists class and appointment booking, point of sale and card processing, and email and SMS notifications. Business, at $199 or $179 annually, adds unlimited staff and carried an offer of 80% off for two months that day. The pricing page shows no card rate and asks you to book a demo. WellnessLiving suits a practice that also sells classes alongside massage.
Calendesk
Calendesk Standard is $97 a month, or $79 billed annually, on Calendesk's pricing page read October 6, 2026. Standard includes 750 bookings, 500 emails and 50 SMS a month, with extra SMS at $0.08 each. Pro, at $147 or $117 annually, adds extra employee accounts from $0.50 each a month. The pricing page shows no card rate. Calendesk suits a practice that wants a website builder with its booking page and books up to 750 sessions a month.

Where Twizzlo fits
Twizzlo is web-based online booking and appointment scheduling software for appointment-based service businesses, including solo massage therapists and small studios, and it bills per business rather than per therapist.
Free is $0 a month for up to 150 bookings a month, with no SMS, and it is free forever, not a trial. Business Pro is $29.99 a month per business for unlimited bookings, with 50 SMS a month included and $0.03 for each one after that. Business Pro comes with a 30-day money-back guarantee. Both plans include unlimited staff and locations. Online payments carry your Stripe processing rate plus a 1.5% Twizzlo platform fee. Details are on Twizzlo pricing.
Take Table 2's hypothetical therapist. Forty or 80 sessions a month both sit inside Free's 150 bookings, so Free covers the bookings with email reminders. With one text per session, Business Pro stays at $29.99 at 40 sessions, inside the 50 included texts. At 80 sessions, 30 extra texts at $0.03 add $0.90, for $30.89 a month.
Prepaying every session online changes the sum. The 1.5% platform fee adds $60 a month on $4,000 of prepaid sessions and $120 on $8,000, before your Stripe rate. At the 2.9% plus $0.30 Stripe rate that Setmore lists, 40 fully prepaid sessions come to about $188 on Free and $217.99 on Business Pro, above the cheapest totals in Table 2. Prepaying first visits only, say 10 of 40 sessions, brings the fee to $15 on $1,000.

Should my booking system include SOAP notes?
Only if you write treatment notes after every session and want them beside the calendar. MassageBook lists basic SOAP notes on Launch and premium SOAP notes on Practice, read October 6, 2026. If notes are the main job, compare charting platforms before booking systems.
Which booking app gives AMTA or ABMP members a discount?
MassageBook. Its pricing page, read October 6, 2026, gives AMTA members 25% off and ABMP members 10% off every plan. That brings Launch to $21.75 and Practice to $44.25 a month for AMTA members, or $26.10 and $53.10 for ABMP members.
